SUMMARY
The Senior Contract Administrator will organise and supervise all the administrative activities that facilitate the smooth running of an office. Hire, train and evaluate administrative team members; develop, review, and improve policies, systems and procedures; and generally, ensure the office operates smoothly and efficiently.
DUTIES AND RESPONSIBILITIES
Advising on pay and other renumeration issues.
Providing admin support for both street cleansing and waste service
Liaise between management and ensure information is communicated.
Managing and resolving both FTE and contract staff queries i.e., timesheets management.
Administering payroll.
Creating purchase orders and accrual management.
Ordering of all stocks needed by the different departments.
Responsible for ordering stationary and other provisions required for the office.
Collating weekly report for Senior Contract Manager/Contract Managers.
Managing the diary of the Senior Contract Manager and providing effective scheduling of meetings with stakeholders on an ad hoc basis.
Analysing training needs in conjunction with departmental managers and other FTEs
Planning, monitoring and control of all resources needed to be able to forecast resources.
Accountable for Health and Safety by providing PPE and all other staff requirement.
Provision of administrative support to management team and supervisors.
Filing of all FTEs and agency paperwork.
Covering of admin staff when on holiday or sick.
Assist in the arrangements of any events that needs to be organised.
Maintaining up to date filing systems, including data management in the form of archiving and retrieval of files so that documents can be found quickly and easily when required.
Coordinate office activities to ensure maximum efficiency.
Carry out any other reasonable job-related tasks.
Essential Characteristics:
· Good timekeeping and an ability to meet deadlines.
· Excellent communication skills - written and verbal.
· Strong interpersonal and customer facing skills.
· Organised, logical with a methodical approach.
· Flexible, highly motived, and willing to learn.
· Good IT skills (MS Office)
· Reliability and discretion.
Desirable characteristics:
· Ability to work independently or as part of a team.
· People management experience.
· Basic budgetary/finance experience.
